How to set up Volta Change Orders, answers to the questions shops ask, and fixes for when something does not go through. Nothing here needs a login.
Setup guide
From Connect in Jobber to the first approved change, on the phone the tech carries.
- Open Jobber's App Marketplace. Find Volta Change Orders and press Connect.
- Approve the access on Jobber's screen. Jobber lists what the app may do: read clients, read jobs, write jobs. Nothing else is asked for.
- Land in the app. Jobber brings you back with "Connected to Jobber." and your shop's name. This page is your list of changes. Come back to it any time from the app's page in Jobber's App Marketplace.
- Press New change. Tap the job this change belongs to. The list comes from Jobber, so the job has to exist there first.
- Choose Speak it or Type it. The app asks once. Under the button, Switch to typing or Switch to speaking changes your mind any time.
- Say the change, then the price. One breath: "Move the exhaust fan to the north wall", then the price as a plain number. The app shows one line and one price. Wrong? Tap Fix it.
- Add a photo, if it helps. Tap Add a photo, take it, and Retake if it is blurry. The customer sees it with the change.
- Press Send to customer, then Send the link. Your phone's share sheet opens; pick your messages app and send it to the customer. If the sheet does not open, the message is copied and you paste it into a text yourself.
- The customer approves on their phone. They see the job, the change, the price of this change and the new job total. They sign with a finger or type their name, then tap Approve. No app to install, no account.
- Check the job in Jobber. Your list reads "Approved, on the job". The job carries one new line, with a note naming the change, who approved it and when. That is the first approved change.
Questions
What does the customer see?
A text from the tech's phone with one link. It opens in the customer's browser: the job name, the change in one line, the price of this change, the new job total, and an Approve button with their name already on it. They sign with a finger or type their name. They can tap Not now instead. There is no app to install and nothing to log in to.
What is written to Jobber?
Nothing until the customer approves. Then one line on the job, with a note naming the change, who approved it and when. Nothing already on the job is edited or removed. The app never writes a change nobody approved.
Does the approved change show on the invoice?
Yes, through Jobber. The app writes the line to the job. When you invoice the job, Jobber carries the job's lines onto the invoice, the same as any other line. The app does not touch invoices.
What if the customer declines?
They tap Not now and can pick a reason: Too expensive, Not needed, Call me first, Other. They see "Thanks, we told the shop." Your list shows Declined, with the reason if they picked one. Nothing is written to Jobber. Talk to the customer, then send a new change if the price moves.
Can I add a photo?
Yes, before you send. Tap Add a photo, take the picture, and Retake if you want another. The customer sees the photo with the line and the price, so the failed part and the fix are in front of them when they approve.
Is the approval a signature?
The customer signs with a finger or types their name, then taps Approve. The app keeps that signature with the change, along with the name on the job, the time, the internet address and the kind of device it came from. The terms call that record yours, and it is kept as proof of the approval.
The app does not replace a written contract. If your contracts call for a particular form of signature, check with whoever wrote them.
How do I disconnect, and what is deleted?
Two ways, same result. In the app: Disconnect from Jobber, then Yes, disconnect. Or in Jobber's App Marketplace, on the app's page.
Deleted: the keys Jobber gave us, right away, and every job and change we hold for you, within 30 days. Kept: the approval records, as proof, for as long as the law requires. Your Jobber data is never touched. To have the rest deleted sooner, email us.
Does it work in Spanish?
Yes. Tap Español at the top of the screen; English switches back. The customer's approval page has the same switch, so a Spanish-speaking customer approves in Spanish. This help page is in Spanish too: Ayuda en español.
What does it cost?
See the app's listing in Jobber's App Marketplace. This page states no price on purpose, so a number here can never be out of date. If anything is unclear, email us.
Who do I contact?
Email hello@voltaorbit.com with the subject "Change Orders support". First reply within 24 hours, weekdays. Put the shop name, the job name and the time of the change in the email, so we can find it fast.
Fixes
The customer has not opened the link
Your list reads "Waiting for the customer" until they open it. When it has sat unopened, the change offers "Not opened yet. Resend?": tap Resend the link and send it again from your phone. The link travels through your own messages app, so check the text actually went out, and to the right number.
No jobs are listed
The app shows the open jobs in your Jobber account. If the job is not in Jobber yet, create it there, come back and tap Try again. If the job is in Jobber and still does not show, email us the job name.
The mic does not work
Your phone asks once whether the browser may use the microphone; allow it. Speak after the button turns dark and "Listening…" shows. If the mic never listens, tap Switch to typing: typing works on every phone, mic or not.
The price is wrong
Before you send: tap Fix it and correct the line or the price. After you send, before approval: ask the customer to tap Not now, then send a new change; nothing reaches Jobber until an approval. After approval: the line is already on the job in Jobber, so correct it in Jobber. The app never edits or removes anything on a job, including its own lines.
Disconnected by mistake
Open Jobber's App Marketplace, find Volta Change Orders and press Connect again. Nothing in Jobber was touched. Changes approved before the disconnect are already on their jobs in Jobber.
The approval is not on the job
Your list reads "Approved, adding to the job" while the line is written, then "Approved, on the job". If it reads "Needs the office" instead, the write did not go through, for example because the Jobber connection lapsed. Open the job in Jobber to check. If the line is not there, email us the job name and the approval time. The approval is recorded, so nothing is lost, and the office can add the line by hand in the meantime.
